Moneta Express Branches Go Paperless

Moneta Express Georgia, a microfinance organization, has been serving Georgia's financial sector for 15 years. Since 2007, the company has been actively operating and has expanded to 9 branches throughout the country.

Moneta Express became the first microfinance organization to implement biometric signatures with Signify Pads in all branch front offices, completely eliminating paper from the customer service process.

Company's general director and chairman of the supervisory board - Zviad Gubeladze talked about the process of implementing Signify pads.

The Challenge

Each day, Moneta Express' branches serve thousands of customers. Traditional paper-based document signing has long been an integral part of this service. Using papers was associated with costs and complicated operational processes.

  • Firstly, there's the daily task of ensuring cartridge charging and distributing the required number of sheets, files, and other stationery to each branch.
  • Secondly, there's the challenge of finding physical space for archives and the constant transportation of documents from branches to the central archive.
  • Most importantly, employees must meticulously collect all printed documents for the "end-of-day" procedure, cross-referencing them with the operating system to identify and rectify any discrepancies.

Extended service time becomes a significant concern as both service staff and customers contend with paperwork.

The Solution

To overcome these challenges, “Moneta Express” digitized front-office document flow using Signify pads in February 2024.The pad is an electronic device where biometric signatures can be captured and authenticated by Levan Samkharauli national forensics bureau.

Signify pads have been integrated with the Moneta Express’s operating system and this solution made service processes process much easier:

  • Documents are initiated directly from the operating software and sent to the signature pad during customer service.
  • Customer places a signature on the pad.
  • Customer instantly receives a link to the signed electronic document via SMS.

How the implementation went

Implementation of Signify pads across all nine branches was completed within about a month, with integration taking only a few days. The process was executed in stages, beginning with a pilot launch at the smallest branch for rigorous testing.

Not only were operational processes closely monitored, but also client reactions. The company was particularly attentive to whether clients would react negatively to the change and request printed documents.

Results in just a few weeks

Although the pads have been implemented for a few months, the results can already be seen:

  • The service time has been accelerated, so the customers are satisfied;
  • Employees are happy, because they finish "closing the day" in 10 minutes instead of 30-40 minutes and go home on earlier;
  • Operating costs have been reduced and most importantly, 1 of 2 document archives has already been closed.
